Head of Operations
The Opportunity
Waytobill is entering an exciting growth phase, and we are looking for a highly capable operator who can take ownership of our internal operations and execution engine. This role is designed to relieve the Founder & CEO from day-to-day operational activities, enabling greater focus on commercial growth, sales, and strategic partnerships.
You will be a central figure in the company — ensuring that finance, compliance, vendors, internal processes, and key projects run efficiently and professionally in a regulated fintech environment.
This is an ideal role for someone who thrives in fast-paced scale-up environments, enjoys building structure from scratch, and wants broad responsibility with direct impact.
Role Mission
Build and run a world-class operational backbone for Waytobill, ensuring scalable processes, strong control, and smooth execution across finance, compliance, partnerships, and internal operations.
Key Responsibilities
Finance & Business Control
Own relationship with outsourced accounting partners across multiple markets
Manage monthly forecasting, budgeting, follow-up, and financial reporting
Support CEO with cash planning, board reporting, and financial insights
Ensure finance operations are scalable, accurate, and timely
Compliance & Regulatory Coordination
Own day-to-day management of outsourced compliance partners
Coordinate remediation and follow-up from audits, controls, and first-line compliance activities
Ensure internal processes meet standards expected in a regulated fintech environment
Drive operational readiness as regulatory requirements evolve
Vendor & Strategic Partner Management
Manage commercial and operational relationships with partner banks, card schemes and key vendors
Negotiate agreements, pricing, SLAs, and service improvements
Ensure vendor ecosystem supports growth, resilience, and cost efficiency
Process Design & Automation
Build internal processes from scratch where none exist
Identify inefficiencies and automate workflows using modern tools
Create documentation, ownership structures, and scalable operating rhythms
Bring order, clarity, and repeatability to a growing business
Cross-Functional Operations & Projects
Act as internal project manager for strategic initiatives
Drive implementation of new systems, launches, and operational changes
Solve day-to-day operational issues quickly and pragmatically
Become the “go-to executor” who gets important things done
Sales Operations Support
Own CRM hygiene, pipeline reporting, and commercial dashboards
Improve prospecting workflows and commercial tooling
Support CCO and sales team with behind-the-scenes enablement
Increase overall sales productivity through operational excellence
Who You Are
Experience
Proven track record in a high-growth startup or scale-up environment
Experience from fintech, payments, SaaS, or another regulated technology business strongly preferred
Experience managing external providers (finance, legal, compliance, vendors)
Used to operating close to founders / senior leadership
Skills
Strong analytical skills with commercial understanding
Excellent project management and execution capability
Structured, detail-oriented, and highly reliable
Strong stakeholder management across internal and external parties
Comfortable handling ambiguity and solving problems independently
